Junior AV Technician
Based in Sutton, up to £22,000
Summary of Main Duties
- To cover the day to day requirements of the conferencing facilities as directed by the AV Technicians
- To assist in the provision of a high quality support service to all staff and visitors to the Institute’s conferences, presentations, meetings and events
- To assist with the Facilities Management databases and associated procedures for room bookings and catering requirements
- To provide comprehensive, administrative and clerical support and assistance to the AV services or as directed by AV Lead Technician or the Facilities Services Manager
Duties and Responsibilities:
Systems Administration
- To assist with the management of the booking of video conferences, audio conferences, presentations and events
- To check all bookings daily and ensure the smooth running of all conferences, presentations and events
- To daily check all meetings rooms and the lecture theatre are clean & presentable
- To layout room furniture and equipment as requested by the client
- To be in attendance at all lectures video-conferences and presentations unless requested to leave, to assist and support presenters as necessary
- To liaise with users in advance of their presentations/events to ensure that their requirements are met
- To ensure that all participants in video-conference presentations establish a connection with the other party in good time
- To ensure that all audio, video and presentation equipment is fully functional at all times
- To resolve problems that may occur during video conferences, presentations and events
- To keep all equipment maintained including replacing projector lamps and microphone/clock batteries
- Schedule, test and monitor video conferencing systems
- To ensure that Service Level Agreements for Conferencing and Events adhered to
- To assist with maintaining supporting documentation
- To maintain Health & Safety standards including cable management
- To keep room notices up to date including daily meeting schedules and Wi-Fi instructions
- To assist maintaining the equipment inventory list
- To be involved in projects related to AV as requested
- To record and edit lectures using the lecture capture system
- To keep track of meeting room attendance and control measures/charging for external users
- To advise the Facilities Services Manager of any changes or possible improvements required to the Audio Visual services
Team Administration
- To liaise with the Site Management Team to supervise catering, portering and cleaning staff to ensure that that all rooms are clean, layouts and other issues are prepared as the booker requires in advance of each conference, presentation or event.
- To advise Site Management of any large or special events coming up.
- To liaise with other Facilities staff on both sites to ensure smooth running of all conferences, presentations and events.
Web pages
- To observe the AV page on The Institute’s internet and intranet pages ensuring that they are attractive, user friendly and up to date and suggest updates as necessary
- To request training requirements appropriate to the role or as advised by the Line Manager
- Maintain personal training records
- To assist in training additional staff as well as end users on the use of the AV equipment
- To assist with roadshows and open days for customers wishing to explore AV experience
