Contract Mobilisation Manager
£25-28ph

Our client are looking for a Contract Mobilisation Manager to help mobilise a new Hard-FM contract coming into effect towards the end of the year. The Contract Mobilisation Manager will be working on the client side but they are happy for the candidate to come from either side. The successful Contract Mobilisation Manager will lead on the transitioning from their incumbent suppliers and processes to the new contract specification.


Candidate will require:


  • Experience mobilising contracts (from either supplier or client side)
  • Experience in an FM/Property Services environment
  • Managing change – part of the mobilisation will involve process amendments within the business
  • Project management skills – multiple stakeholder management, work packages to be delivered within deadlines


Tasks required from the candidate:

1.               Obtaining suppliers’ details and set up on the Council’s systems.

2.               Assisting in the creation of the 52-week maintenance plan based upon the SFG20 specification requirements.

3.               Liaison with the successful contractors to convert annual prices to activity-based pricing to calculate month-to-month charges based upon the agree 52-week maintenance plan.

4.               Establishing arrangements for the suppliers to access the Concerto CAFM system.

5.               Agreeing workflows applicable to all tasks to be carried out by the suppliers.

6.               Establish arrangements for suppliers to respond to call-out requests, in and outside of normal working hours.

7.               Setting up the SLA and KPI provisions on the CAFM and supplier systems.

8.               Agreeing and establishing supplier reporting requirements and templates.

9.               Establishing details of and agreeing suitability of any sub-contractors proposed by the successful suppliers.

10.            Assisting the new suppliers obtain updated ELI information from the out-going contractors as applicable and overseeing the TUPE consultation and transfer process as applicable.

12.            Establish key contacts from each supplier and internal counterparts.

13.            Establish an organogram for each contract showing both the supplier and internal teams.

14.            Obtaining competency, experience and training plan information for all resources proposed to be utilised to provide the services required.

15.            Coordination the process of obtaining security passes/establishing access arrangements for applicable premises.

16.            Agreeing and assisting in establishing as applicable any on-site facilities (workspaces, storage etc.) for the new suppliers.

17.            Obtaining copies and verifying suitability of the contractors’ insurance policies.

18.            Obtaining a list of information required from each new supplier.

19.            Agree and establish arrangements and draft standing agenda for future supplier meetings.


In terms of governance the following will need to be considered and put in place:

•                Agreeing mobilisation tasks, plans and programmes with each supplier and the client team.

•                Running weekly review meetings with each supplier, tracking progress against the mobilisation plan an programme, agreeing any variances and rectification measures required.

•                Providing regular “dashboard” progress reports and client updates.

•                Signing off that all mobilisation tasks have been completed at the end of the period.
