Private Family Personal Assistant

Salary 50k – 55k

 

Build Recruitment are looking for an experienced, well-spoken, intelligent, and calm Private Personal Assistant to support a private family. Based mainly at their residence in Essex, travel will be required to other properties in central London. You will be responsible for supporting the House Manager and a team of household staff.

 

Supporting the family in a Private Personal Assistant capacity so experience in handling highly confidential information with complete discretion is necessary for this family. You must always understand the need for confidentiality and control, have excellent communication skills, be an expert at dealing with constantly changing itineraries, and be Confident at juggling multiple priorities.

 

Working closely with the Estate Director and House Manager to deliver the principals service preferences and expectations, ensuring that the residences are maintained to a high standard.

 

No two days will be the same, and this Personal Assistant must deal with last-minute changes, always remaining unflustered and positive and able to offer out-of-business hours of support. You will not be tied to your desk all day as you will be involved with projects that take you out of the office.

 

Private Personal Assistant duties will include:


  • Managing extensive private and business luxury travel.
  • Diary management.
  • Paying personal bills.
  • Organising private social events and ad-hoc project-based work. 
  • Diary Management, organising schedules, booking meetings.
  • Travel; itineraries, visa, and accommodations, booking and dealing with private jet charter.
  • Liaise with the family Governess concerning the children's tutor scheduling, extra-curriculum activities, nutrition, and well-being.
  • Personal appointments, daily lifestyle oversight.
  • Liaising with a personal stylist, wardrobe managers, designers
  • Organising events and receptions.
  • Liaising with Architects, lawyers, quantity surveyor, consultants, and contractors.
  • Maintain accurate records of maintenance, housekeeping and contractual agreements.
  • Management of the family's calendars, scheduling meetings and arranging travel itineraries
  • Handling correspondence and managing communication with staff as directed by the Estate Director.
  • All admin duties – the first point of contact, liaising with guest lists, events and VVIP guests appointments.
  • Assisting House Manager as required when overseeing property maintenance and dealing with contractors.
  • Coordinate other departments to ensure seamless communication and collaboration.
  • Expense management
  • Personal administration, as well as charitable/trust administrative support.
  • Research on projects + family holidays
  • Running/arranging personal errands
  • Online shopping and procurement
  • Ad-hoc household administration

 

The successful candidate will have relevant Private Personal Assistant experience, including supporting a family with various children and being happy working from the house.

Ideally, you will have a gentle sense of humour, the ability to look ahead and be a skilled influencer with high EQ – someone who can read the room.
