Facilities Assistant - *Full time & Part Time positions available*

Job Overview

Representing the Facilities team on site, ensuring that the building is maintained to a high standard and that issues are dealt with effectively and efficiently



    • Manage the front of house function ensuring that visitors and tenants are given a warm and professional welcome
    • Manage customer meeting room facilities, including bookings and room set up
    • Take ownership equipment register, dealing with all requests as required
    • Ensure that the first aid boxes are audited monthly and kept fully stocked as per stock guidelines
    • Manage any emergency incidents, including fire evacuations, tests and drills, acting as Incident Control Officer for the whole building
    • Ensure that the building remains secure at all times, including pass management, gate management and opening/locking up procedures are in place and up to date
    • Support the Reception Team in dealing with meeting room booking requests at all sites and general enquiries that are emailed in
    • Manage the access pass system, including creating new users, processing leavers and monthly user audits on the system
    • Manage any moves and changes as required, including managing the processing of requests.
    • Complete a regular routine of site inspections monitoring cleaning standards and maintenance requirements
    • Hold monthly audits with the cleaning provider to ensure quality and standards are met as per the contractual KPI
    • Liaise with the site engineer and helpdesk to book in reactive works as required
    • Obtaining and reviewing quotes required to complete any additional works, including managing subcontractor attendance on site, reviewing RAMS prior to visit and completing Contractor Packs.
    • Support the Projects Team delivering project works and ensuring minimal impact to the normal workplace operation.
    • Maintaining audit/compliance records


Ensure the provision of a safe & healthy working environment, ensure compliance with all Company policies and procedures, as well as client site policies, procedures and working arrangements, as required (including completion of risk assessments, COSHH Management and training).


  • Provision of regular updates/reports and attending regular meetings as required.

 

To develop a good working relationship with all members of the team, clients and staff.


  • Ensure a professional image is presented to clients, visitors and ensure excellence in customer service is always delivered and promoted.

 

Undertaking all training which will be provided by the company.
