Salary: £30,000 + £35,000 depending on experience

They are looking for a new Assistant Property Manager that they can train and develop into a Property Manager with their own portfolio as the role progresses.

Purpose


Providing support to the Property Managers and Asset Managers in providing a quality management service to Tenants and Landlords whilst working closely with other departments, external providers, neighbouring owners and contractors.



You will have a specific portfolio of properties that you will manage as well as undertaking further duties in support of the Property and Asset Managers.



Key Responsibilities



  • Assisting and supporting Asset Management and Property Management teams in the day-to-day management of the commercial and residential property portfolio.

  • Identify and take responsibility for asset management initiatives within own portfolio including letting void units, undertaking lease renewals and rent reviews.

  • Assisting with the drafting and preparation of service charge budget and reconciliations under the guidance of PM within best practice guidelines

  • Responding to tenant and Asset Manager queries in a timely and proper manner.

  • Dealing with ad-hoc, emergency and reactive repair projects ensuring works undertaken in a cost effective and timely manner.

  • Liaise with internal accounts, credit control and insurance departments as and when required.

  • Processing tenant management, repair and service charge queries.

  • Maintaining the key log to ensure that keys are always able to be located either in the log or with contractors / agents.

  • Process business rates and council tax invoices ensuring accounts are updated on reletting a property or properties falling vacant. Liaise and support Asset Managers on rating appeals.

  • Process utility invoices and ensure tenant movements are correctly reported to utility suppliers.

  • Log and manage insurance claims through to completion to include contractor and invoice management and excess recovery via the service charge.

  • Ensure management responsibilities and actions are efficiently monitored and progressed to completion liaising with Asset Management, Property Management and other internal departments as required.

  • Assisting Facilities Management, Insurance and Health & Safety teams in arranging surveys and inspections and dealing with all risk improvements, Health & Safety improvements other survey requirements with tenants, Property Management and Asset Managers as appropriate.

  • Undertake periodic inspections of the managed portfolio, logging inspections and reporting finding to the Asset Managers and property managers.

  • Assist Asset Mangers in preparing properties for marketing to including instructing works to "white box" retail units and undertake Landlord Works required to enable leases to complete.

  • Process supplier invoices through the purchase ledger system ensuring they are correctly allocated within the service charge or non-recoverable categories.

  • Delegate and manage work to office support team when required.

  • Identify training needs to line manager.

  • IOSH desirable

  • Ability to use industry software - Qube, Horizon
