Summary of the Facilities Co-ordinator role:

We are seeking an experienced Facilities Co-ordinator to support a small (FM Integrator) team operating as an extension of the client organisation in monitoring and managing an outsourced IFM contract. The Facilities Co-ordinator is responsible for the operation of the CAFM solution including Helpdesk and for organising, managing, and communicating information (including reporting & KPIs) to internal and external stakeholders. The postholder will report to the Projects & FM Team Leader and will need to deputise for this role periodically. The role is critical to the success of the FM solution and is an excellent career opportunity for the right candidate.

Facilities Co-ordinator Deliverables / Outcomes (include but are not limited to):

  • Support the outsourced management team with client practices, including OIMS, safety and general expectations.
  • Act as the primary point of contact for FM Information within scope of contract.
  • Support the Projects & FM Team leader in co-ordination of the site team.
  • Direct line management of Helpdesk Administrator.
  • Communication and administration in relation to other roles, including:
    • Tech & Compliance Manager.
    • Variable/interim personnel, e.g. Projects & Safety personnel.
  • Support the transition project to embed a new FM structure and supply partners.
  • Implementation of CAFM system, including training and troubleshooting, with support from the system admin and transition team.
  • Be the primary CAFM system manager (with external system admin support year 1).
  • Maintain permissions & CAFM access across the business, including new starters.
    • Client security group for SSO and access.
  • Gather client feedback & requirements to develop Planon for customer benefits.
  • Assist with future CAFM development phases to introduce new functions to system.
  • Create management reports that show the demands across site to ensure correct financial assignment, showing areas of potential savings.
  • Manage email Distribution Lists.

Skills, Experience & Qualifications:

  • Customer service and/or FM experience (essential).
  • Good verbal and written communication (customer focused service outlook).
  • High level of organisation skills with an eye for detail.
  • Good people management skills.
  • Ability to utilise technology (including CAFM systems) for the benefit of the client.
  • Effective communication & interaction with colleagues and client team.
  • Ability to respond to changing requirements and work across multiple interfaces.
  • Self-starter with ability to work autonomously when required to do so.

Location: Abingdon, site based

Start date: Immediate

Duration: Permanent (with initial 6-month probation period review)

Salary: £42,000 - £46,000 (depending on experience) plus enhanced holiday allowance (25 days + bank holidays)
