Job Title: Hard Services Manager

 

Salary Range: £34-£35k (Subject to Experience)

 

Reports to: Head of Building Management

Number of Direct Reports: 0

Department: Venue Operations

 

Job Type:  Permanent, Annualised hours, 37 hours per week (excluding breaks) inclusive of some evenings and weekends

Overtime available as necessitated by the business.

 

 

QEII Centre:

Operations

The QEII Centre is circa 27,000 Square Metres in size and is set out over 10 floors (including 3 basement levels).  Equipped with 18 passenger/goods lifts, 6 plantrooms, 3 cooling towers, 3 ammonia chillers and 3 boilers it requires experience and knowledge to ensure we stay operational and compliant.   The Operations department ensure the smooth running of the site and the delivery of excellent customer service both internal and external.  Being on point with our hard and soft service contractors and managing sub-contractors to deliver projects and routine maintenance is key to the success of both the department and the wider Centre.   As the Centre enters a period of Masterplan works your experience and project management skills will be essential.

Job Purpose:

You will be responsible for the effective management and delivery of life safety systems, Centre lighting, utilities, preventative maintenance planning, reactive maintenance, and will support the Event Management team with Health & Safety for events.  You will ensure the internal FM helpdesk in managed correctly and timely.  This list is not exhaustive and does not capture all of the areas of responsibility.  You will work with the Head of Building Management and apply best practice to create the Centre’s annual maintenance budget. You will be responsible for presenting monthly reports on variances and savings. You will represent the Centre’s ethos and ethics by ensuring that all internal and external Clients receive outstanding, award-winning service.

Key Tasks

  • As the Deputy to the Head of Building operations, the role is a key support on day-to-day FM operations and all matters pertaining to the adherence of the Centre's Health & Safety Policy.
  • Refurbishment projects and all small works.
  • Primary liaison with our procured service partners (Hard Service Supplier), to reconcile any variable costs against budget and job specification, to ensure that fixed contracted services are being delivered to the agreed standard/SLA.
  • To conduct and document weekly building inspections fabric, M&E, deficiencies are reported to the Head of Building Management and our service partners
  • To be part of our sustainability planning committee and lead on all environmental matters.
  • Maintain the Centre’s Business Continuity plan arrangements, working with the Venue Operations Director and Head of Building Management to ensure they are fit for purpose and regularly tested.

 

Health and Safety

  • To work with the Venue Operations Director and Head of Building Management to maintain the Centre’s Health & Safety Policy and to ensure all staff training pertaining to health and safety is kept up to date.
  • To manage the online incident reporting system for the Centre ensuring that all incidents, accidents, and near misses are investigated and documented.
  • Advise HR on disability and occupational health and safety risks.

 

Hard FM

  • You will ensure that all PPMs and reactives are carried out efficiently and to a high standard
  • Support the team from a technical perspective and attend meetings with the Hard FM Supplier and other contractors
  • Conduct assurance checks, site inspections and ensue paperwork is all kept up to date

Person Specification 

Essential

  • Proven track record of delivering building asset replacement and upgrades with a strong technical and engineering background (Mechanical & Electrical)
  • IOSH/NEBOSH
  • Proven track record of strong contract management experience, particularly in managing strategic supplier relationships
  • Excellent verbal and written communication skills
  • Evidenced experience in Hard FM project management and delivery, of working with detailed contractual/statutory/legal documents and ensuring compliance
  • Experience delivering project updates to Directors

Desirable

  • FM in a customer focused venue
  • Ability to provide innovative, creative, and pragmatic solutions to problems
  • Experience of event diary management system, e.g., EBMS or similar
  • CDM4 events
