Soft Services Manager
London - SE1
£43,000-£47,000 per year
We have an incredible opportunity working on a large multi-tenanted office site located on the Thames for a Soft Services manager, looking after a team of around 10 people.
The Soft Services Manager will be responsible for the day-to-day management of the Logistics team for the client, and their tenants. The post holder will have management responsibilities for the facilities coordination services, including Contract supports, AV provision and mailroom services.
As Soft Services Manager you will provide a friendly, proactive, safe, and innovative logistics service to the client; ensuring the team is in place at all time to deliver a quick, efficient, and professional services - enabling exceptional experiences for the client and guests.
Key Accountabilities:
Manage the site team in the overall delivery of FM services ensuring correct standards of service are established and agreed SLAs and KPIs are achieved.
Train, develop and performance manage direct reports; conducting meaningful and positive inductions and training.
Design, implement, monitor, and adapt dynamic operational working procedures ensuring that all relevant site manual and records are up to date. Work alongside the team to ensure best practice is in place.
Produce client reports ( monthly , quarterly, and annual), presenting at meetings, ensure meeting minutes/actions are noted and issued within three working days.
Manage site audits / inspections and follow up action on site using methods agreed, ensuring actions are noted and closed out within agreed timescales.
Ensure all aspects of performance targets are met and all works are carried out effectively, efficiently and in a safe manner.
Provide the contract with a high level of accurate and timely administrative support including purchase order raising and goods receipting, monthly billing reconciliation for variable works and CAFM related updates.
Ensure all Health & Safety processes and records are kept up to date. Monitor, record and investigate accidents and near misses.
Build excellent relationships with clients, encouraging strong relationships between operational teams and client representatives, and championing a one team approach within the wider facilities team.
Experience/Qualifications:
- Minimum 5+ years proven experience in managing successful teams in similar high profile buildings
- Ability to multi task and remain calm under pressure in a highly demanding environment
- Be a problem solver and decision maker even when under pressure
- Excellent team management, leadership and motivational people management skills
- Excellent interpersonal, communications and presentation skills
- Resilience and flexibility to help with the changing demands of the client
- Dynamic and have excellent communication/delegation skills and organisational skills along with being very goal focused
- A professional phone, email and personal communications manner with a passion for excellent service delivery
- Knowledge and experience working with; Cleaning; Hard & Soft FM Management
- Experience of managing satellite sites
- Understanding of Projects
- Computer literate with experience of word, powerpoint and excel
- Diplomacy and Flexibility
- Incident management experience
