Planner / Scheduler
Sharston - **Relocating to Warrington**
You will be working for one of the largest Facilities Maintenance Companies in the World. They are a well-known global company who specialise in the Commercial, Industrial, Retail, Government, Healthcare and Educational sectors.
Daily Tasks
- Calls monitored in un-allocated & details checked
- Update clients, including live Management Information Systems
- Calls are passed to engineers via PDA (support only)
- Ongoing checks of the main unallocated pot, allocating jobs into the correct area
Daily Tasks
Timesheets:
- Check Approve all timesheet submissions electronically
- Send email to T.M with list of all timesheets not submitted by 10am
- Removal of all *gas report sheets (note on the timesheet that sheet received)
- Follow original timesheet procedure
- Final check of timesheet to be carried out by T.M
- Passed to Head Office for overtime process
On Call:
- Labour Resource team to discuss and finalise the weeks on call details with the assistance from the Technical Managers. Completed email to be sent to On Call email address. Once plan is made, engineers to be contacted and reminded of their on-call dates for the week. Cover required for on call should be initially arranged by engineer themselves, failing this, TM to arrange cover.
- Ensure T.M has sent the weekend diary by 1pm on a Friday
- Check of the Fixed Price works pot to ensure any materials that are required have been ordered and engineers involved have the job sent through, general assisting with the planning and arranging of F/P works
- Check the WIP pot to ensure no old jobs are still in there, and ensure the jobs are being processed correctly. Monitor this in conjunction with running a WIP report.
- All jobs for each areas pot are flushed forward into following week (Friday)
Monthly Tasks
- Liaise with TM to forward plan maintenance activities and allocate resources including all renewals and cancellations - This is an ongoing task, as well as covering at beginning of the month
- Each TS to generate monthly labour report information for main report to be complied
- Collate Sickness/Absence report, final copy to be passed to Head Office for review by TM's
- Ongoing throughout month and final copy produced at end of month
- Collate overtime information via Timesheets onto spreadsheet, final copy to be passed to Head Office for review by TM''s.
General Tasks
- Update the engineers details documents, with comments as required
- Regular discussions with the TM of unallocated jobs, ensuring pots are kept tidy and all jobs are kept updated with notes, ensure cancelled jobs are cancelled and completed properly, ensure rejected jobs are progressed properly-cancelled-reallocated etc
- Ensure jobs are updated with comments where applicable
- Attend handover meetings
- Ensure vital information is provided to other departments i.e., Contracts Managers, and Estimating Departments
- Job uplifts as required
- Assisting with general enquiries in TM 's absence

- Assisting with general enquiries in TM 's absence
- Add notes into "site details" as and when obtained to ensure more efficient service to client, i.e., client contact, cost spend etc
- Offer general support to TM's
- General Administrative duties as required
- System updates/training and monitoring
- Control/maintain, including ordering and calibration of tooling equipment
The offer:-
- Up to £26,000 - Dependent on experience
- Mon-Fri 8am-5pm
- 21 Days + 8 Bank Holidays
