Our client is looking for an experienced client facing Work Co-Ordinator to work across a large prestigious contract in Aylesbury. 

The ideal candidate will have a good knowledge;


  • Experienced with excel, word required; training given on specific packages. 
  • Ability to collate data, produce written documents, MI on request. 
  • Ability to take minutes/ actions at client meetings.
  • Knowledge of Facility Management within buildings would be an advantage. 
  • Provide cover for the receptionist as required

Job roles:

New Starters


  • Set up with access fob and parking permit
  • Issue an equipment form & request signature from new starter
  • Upon employee leaving Biffa – ensure access fob and parking permit is returned & signed for
  • Manage diary for SIT meetings, book venue and send invites
  • As a team member, attend meetings, action and put right any issues as required

Building & Equipment


  • First point of contact for any matter related to the Aylesbury Office buildings & services – The Gatehouse.
  • Building security – alarm system, key register
  • Report issues to building security & ensure they are dealt with appropriately
  • Liaise with contractors
  • Organise servicing, repairs, replacement of office equipment
  • Franking machine – order supplies & add postage, report faults

Administration


  • Answer telephone
  • Filing of company documents
  • Stationery – query invoices, oversee Receptionist on the following: order, maintain stock levels, keep spreadsheet of orders/expenditures
  • Raise and receive PO’s on relative systems and keep spreadsheet of costs
  • Oversee Receptionist arranges archive & retrieval of company documents from off site storage facility and spreadsheet of all documents in storage kept up to date
  • Set up and clear Boardroom and Meeting Room when required
  • Supply admin support to office and remote users
  • Cover Reception in the absence of Receptionist

8AM – 5PM

Temporary to Permeant

20K – 21K
