Sub Contractor Coordinator

Warrington

You will be working for one of the largest Facilities Maintenance Companies in the World. They are a well-known global company who specialise in the Commercial, Industrial, Retail, Government, Healthcare and Educational sectors.

Purpose of the role


  • To be responsible for the planning, work scheduling and control of all outsourced specialist engineering services within the company. Liaise with Service Partners & Clients in facilitating all contractual PPM activities and reactive call-outs within our Clients Assets.
  • Updating CAFM systems and supporting the Contract Management team, ensuring the relevant level of Service Standard is met.

Essential duties & responsibilities


  • Arranging emergency/reactive calls through Diary (CAFM system)
  • Liaising with clients and subcontractors in planning and allocation of all subcontractor calls.
  • Working to meet set response times and agreed SLA's and updating clients of progression and completion
  • Raising purchase orders (Vixen System)
  • Raising of supplier & subcontractor orders
  • Arranging Fixed Price/Quoted Works
  • Liaising with clients and subcontractors, planning / allocation of tasks within agreed SLA's through to completion
  • Scheduling of preventative maintenance tasks
  • Liaising with clients and subcontractors, planning and allocation of all subcontractor preventative maintenance tasks, PPM and statutory, ensuring all are closed out within agreed SLA
  • Updating online Client systems
  • Updating constantly on a daily basis, with real on/off site times and uploading completion reports
  • Updating ECM system
  • Renaming and Uploading of all subcontractor ppm / reactive reports

General duties


  • To provide general support and assistance to the contract management team
  • To assist Contract Managers with various day to day contract issues as and when they arise, telephone/email clients, contractors as required.
  • Undertake general administration duties as required to assist in overall contract operation including responding to a significant volume of emails (Microsoft Outlook)

Relevant Experience / qualifications


  • Qualifications in Computer Literacy and an ability to proficiently use Microsoft Excel, Word and Outlook.
  • Working in an office environment with direct liaison with Management Staff and Clients.
  • Dealing with scheduling programs and Facilities Management CAFM systems
  • Experience of using databases, spreadsheets and other computer based applications including Microsoft office.

Essential Skills


  • Excellent telephone manner with good verbal and written communication skills.
  • A bility to be innovative and solve problems whilst dealing with a broad range of people.
  • Ability to prioritise your own workload with minimal supervision and use of your own initiative.
  • Exercise good time management and prioritise workloads whilst under pressure.
  • A team worker with a flexible approach, including the ability to request and offer support from other team members as required.
