Our client are an internationally renowned provider of facilities and property management solutions to an enviable client list that includes global blue chip companies. To support activity on a key contract for them, we are looking to recruit a Facilities Coordinator based in Harrogate. Please note, an M&E bis would be a huge advantage for this role
About the role:
The Facilities Co-ordinator supports the Facilities Supervisor in the management of service delivery in the client offices, responsible for all aspects of facility management including M&E and Soft Service delivery while ensuring client satisfaction. Responsible for representing the company in the local business and real estate community in order to promote reputation and capabilities. Manage all aspects of facilities to ensure that the services delivery and contractual obligations are delivered and executed in a manner that fosters and achieves superior customer satisfaction.
Key Responsibilities
- Promotes high level of satisfaction among clients by promptly responding to their service requirements. Assures prompt response by selected contractors through dispatch, voice mail and/or other direct contact.
- Maintains responsibility for the building(s) filing systems.
- Assist the Facilities Supervisor in developing and maintaining lease, insurance, general buildings, project, vendor and contract files.
- To ensure we meet ISO45001 and ISO14001 compliance and assist in the preparation the required files to maintain the HSE certification.
- Maintains role as primary contact for user relative to service requests and CAFM System
- Supported by the Facilities Supervisor performs churn management, space and move management.
- Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.
- Input all job requests in CAFM system and ensure work orders managed and closed out daily.
- Performs daily services within the contract standard scope of works / KPI.
- Assist with monitoring and escorting M&E outsourced contractors on as needed basis for safety and security.
- Provide high quality customer service to both internal and external customers.
- Assist with the implementation of predictive and preventive maintenance program and review / monitor effectiveness.
- Supports the facility supervisor in preparing the annual budget, forecasts, business plans, accrual, variance report, and any other financial requirements in Yardi.
Knowledge and experience
- Strong property and M&E knowledge and experience is essential.
- BIFM qualification or equivalent work experience.
- Analytical approach to Compliance.
- Excellent written and oral communications skills.
- Strong computer and systems knowledge.
- Experience in managing contractors and minor projects desirable.
- Have good anticipation, analytical skills, with problem solving aptitude.
- Extremely strong customer service skills.
- Knowledge of workplace safety and health.
- Knowledge of risk assessment / risk management onsite.
- Strong working knowledge of CAFM systems.
- Experience with budget management and facility management accounting is preferable.
- Must have clean driving licence and access to own transport due to the requirement to cover multiple sites.
- English language required. Other languages are a bonus.
