Role: Customer Service Advisor (receptionist)

Location: York

Salary: £19'890

I'm currently recruiting for a customer service advisor/receptionist to join a well established FM company to be based in York. The role will be covering student accommodation and educational premises. The successful applicant will be given additional training and the opportunity to further progress their career through apprenticeships in Facilities Maintenance.


  • The main role of the Customer Service Advisor/Receptionist will be:Acting as a liaison between customers and service departments always providing excellent customer service.
  • To present a professional and friendly front line first port of call to all customers.
  • To deal with enquiries efficiently from customers and visitors to sites, providing appropriate advice and information, through email, website, telephone and in person.
  • Ensure the reception area is always of a high professional standard, including ensuring exceptional customers service standards to customers.
  • Embed customer engagement by involving and consulting customers to find ways to shape, improve and deliver services to meet their needs.
  • Manage and maintain relevant administration and reporting systems. Including managing general enquires which come through to email inbox by responding promptly to queries, ensuring the inbox is managed efficiently and all live queries dealt with, responding, storing, deleting as appropriate.
  • Supporting with ensuring maintenance and cleaning fault reports are logged on the system, in a timely manner in accordance with the site service level agreement.
  • To manage, maintain and produce statistical reporting information to the Scheme Manager.
  • Actively promote our service to prospective customers, providing accurate information, ensuring contact details are retained, as necessary.
  • To receive and record post and deliveries, booking-in student packages and assisting to manage the post collection service.
  • To receive and facilitate access to visitors and contractors.
  • To act as first point of contact for service issues, including complaints, anti-social behavior, welfare, repair requests and allocation issues to refer students appropriately as and where necessary.
  • Respond to emergencies, during working hours in a professional and diligent manner.
  • IT literate with knowledge of Microsoft applications. Support the team with any administration activities such as, but not limited to, recording planned and reactive work.
  • To access online learning management system and cascade HR for employee records.
  • The Customer Service Advisor/Receptionist will have:
  • Previous substantial experience in a customer facing environment.
  • Use of computers and emails, in particular Microsoft Applications (Word, Excel, power point, MS Teams).
  • Experience of working in a diverse team in a customer-focused environment.
  • Proven track record of administration support.
  • Experience on a reception or helpdesk
