We are currently looking for a Project Reporting Manager to manage the data and workflow for £9m of building project work and refurbishment across the company's building portfolio. The role is a crucial new position to help deliver the clients project expectations whilst maintaining SHE / CDM compliance and budget control.

Working directly for the client, you will manage all project work via CRM systems, Trackers and Spreadsheets - monitoring completion of jobs across the business and providing weekly and monthly updates to the Operations Director. You will engage directly with project managers to keep the tracker current with the latest project data. This data will then be used by the Director to operationally manage the projects.

The role is home based but some travel to face-to-face meetings may be required on occasion (not regular). The hours are flexible.

Duties of the role include:


      Responsibility for the administration and reporting of the Construction and Refurbishment Project Pipeline, a wide range of ad-hoc business-driven Projects, upgrades and improvement works and feasibility studies.


Responsible for ensuring that the status of all project works undertaken directly or buy subcontractors is reported on time.

Ensure that all Project related activities are supported by clear administrative and reporting processes to show that all projects are delivered cost effectively and underpinned by a clear breakdown of costs.

To Monitor project performance against SLA's and KPI's in line with client expectations and ensure any reporting data is collated and reports delivered to the client timelines.

Positively influence relationships to ensure regular contact is maintained and service delivery expectations are achieved / exceeded. Strengthen relationships to support project activities.

Help strengthen and develop existing project management processes and procedures to ensure projects can be delivered safely, timely and competitively.

Provide administrative data to ensure project costs can be analysed to drive continuous commercial improvement.


      Produce weekly and monthly project reports and documents to meet internal and customer deadlines, and work with the site team and Energy Manager to reduce Energy usage and to positively move towards a carbon neutral position.


Assist with the collation of Finance data, identifying opportunities for cost reduction and savings.

To administer the project budget and provide a Monthly update showing all costs allocated to live projects, clarify the billing data and provide a clear forecast of spend on future projects.

Person Specification

The ideal candidate will have the following skills and qualifications:


  • Good confident communications skills
  • Knowledge of CDM and subcontractor work management
  • Attention to detail and high level of literacy


  • Preferably IOSH, Nebosh, SMSTS or Rospa qualification.
  • Formal Project Management qualifications (Prince2 etc) (desirable)


  • Experience in FM Project Management administration
  • Experience and understanding of asset risk management and Lifecycle planning.
  • Excellent IT skills (Particularly advanced Excel, Word and PowerPoint as a minimum).
  • Previous Report writing experience.
