The Role: Executive Assistant & Budget Manager

Supporting: Director of Estates & Facilities Management and The Quartermaster

Sector: Property & FM / Charitable Organisation

Location: Chelsea, London

Salary: £34,000pa.

I am working with a unique organization who provide support and amenities to a number of veterans and also run part of the estate portfolio as a commercial business.

We are looking for a highly organized Executive Assistant with extensive experience within property and estate management. You will be the Executive Assistant to the Director of Property & Facilities Management and must have an excellent head for accounts as well as a good understanding of leasehold agreements and beyond.

Key to success is your personable approach and your ability to build strong relationships with multiple stakeholders.

This is a broad and varied role with a number of key areas of responsibility.

Executive Assistant:-


  • Responsible for dealing with appropriate issues on behalf of, and in his absence of, the director
  • Maintaining his outer office, greeting all visitors, maintaining his diary and providing full secretarial support as required

Tenants Register:-


  • Being the first point of contact in respect of all Leases and Licenses and ensuring appropriate annual actions take place.
  • Aid the Estates Committee of the Board of Commissioners, collating all necessary documentation for its quarterly meetings and provided packs to each Committee Commissioner.

The Budget Manager:-


  • To the Facilities Management Department
  • Responsible to Director and Quartermaster for the day-to-day activities of the FM budgets, ensuring that all Resource Managers act within their delegated powers.
  • Responsible daily for the monitoring and follow-up action of all FM and Property invoices.
  • Maintain shadow accounts of all payments made under each GL Code.
  • Responsible on a weekly basis for checking all costs booked to the FM and Property Budgets, notifying the Finance Office of any incorrect bookings.
  • Responsible monthly for the compilation and production of the FM Forecast.
  • Responsible for liaising with Resource Managers and compiling the Annual STP Bids for all Departments.
  • Ensuring that all rents due for leasehold properties are received timely and that leases are renewed as and when due.
