Title: Resident Estate Manager

Hours: Full time, Permanent, Monday to Friday and Saturday morning ‐ 40 hours with flexibility to work additional hours to deal with or assist with an emergency (time off in lieu).

Salary: £19,000-£21,000

Plus: On site residential accommodation in one bedroom flat, including Council Tax and all utilities paid.

Summary:

Are you looking to site manage a flagship estate in Essex comprising of residential properties set within attractive grounds? To be ideal for this role you will enjoy working inside and outside in the delightful but changeable English weather, be used to physically demanding work, demonstrate good decision‐making skills and have a desire to consistently provide a high standard of customer service. You must have good communication skills as you will be interacting with colleagues mainly over the telephone as well as have regular face to face interaction with residents on a daily basis.

My client is looking for someone with a background in hands‐on working, with strong customer service skills, contractor management experience and the ability to self‐supervise. This is not a desk job. The successful candidate will take pride in ensuring the development looks fantastic at all times. You will be a highly motivated individual, highly efficient and able to deal with residents' queries professionally and promptly.

Roles and Responsibilities:

Primary responsibility is to assist in the delivery of property management service to the development, its residents and leaseholders.

Liaise with residents if any personal belongings have been left in communal areas and request that they make arrangements for storage or removal.
Act as point of contact for any contractors attending the property during your shift and oversee the works being carried out
Ensure that the managing agent is aware of any contractors instructed directly by a resident and that they adhere to any relevant restrictions e.g. start/end time of work being carried out
etc.
Instruct contractors in the event of any minor building or grounds issues that are either raised by residents or identified during security patrols
Ensure all incidents, accidents, near misses and maintenance visits are reported to the
appropriate person i.e. Head Porter, Building Manager and Managing Agent etc. (A copy of any subsequent accident/near miss report should be forwarded to the RMG Head of Health & Safety).
Ensure compliance with Fire Safety regulations by ensuring all exits are clear from obstruction, ensuring that all fire exits are closed and being aware of the procedures to follow should a fire occur. (Personnel are to make themselves familiar with the contents of the most current Fire
Risk Assessment for the building).
Be aware of all emergency phone numbers
Maintain full confidentiality when communicating with residents and their guests
Treat all residents in a polite and professional manner
Question the owners of any unauthorized vehicles that are parked onsite and inform them that
they will received a PCN if they do not move their vehicles within 20 minutes of them entering the site
Ensure all commercial vehicles are parked in the designated commercial parking area
Conduct random security patrols at least two times per day
Conduct weekly site inspection reports which should include identifying any health and safety concerns and provide a copy to the managing agent
To be on call and assist with any emergencies that occur out of normal office hours
Notifying the police if any criminal or anti-social behavior is suspected onsite or if unsure, seek advice from the managing agent
To deal with all leaks and associated claims through the Buildings Insurance
Carry out litter picking in internal and external areas in the absence of the contract cleaners and gardeners
Adhere to correct standard of uniform and personal appearance
Notify the contract cleaners of any lights that are not in working order and ensure that they are fixed during their next visit
Ensure the security of the block is maintained at all times by that all communal doors leading to
the block are closed and in working order and that all keys being held are locked away securely.
Ensure all legal, health and safety and fire safety signage is displayed and accurate
Ensure all contractors sign in and out of the log book for every visit
Assist the Property Manager in actioning all health and safety hazards as recommended by the assessor.
Inform the managing agent if any works completed by contractors are sub standard
Escalate any potentially contentious issues raised by residents to the managing agent
E-mail the managing agent monthly readings of all landlord's supply
Deal with all insurance claims and to keep the managing agent up to date in this respect
Inform the Property Manager of any defects noticed on site immediately.
Pressure/Jet wash paths whenever required
